Stop Hope-Based Planning: Building Project Plans Your Team Can Actually Deliver
Project teams rarely struggle because they lack plans. They struggle because their plans are built around optimistic assumptions, artificial deadlines, unclear priorities, and best-case estimates that do not reflect the realities of the team expected to execute them. Recognizing that pattern, and knowing what to do about it, is a learnable skill.
This interactive webinar gives participants a set of practical planning techniques they can apply to a live project the next day. Participants learn to define the outcome before the task list, separate essential work from lower-value activity, estimate in a way that accounts for real team capability and execution risk, and adapt a plan when conditions change without abandoning the objective.
A single project scenario evolves throughout the session, giving participants repeated opportunities to practice each technique, compare their judgment against the room, and see the consequences of the choices they make. The session is organized around three plain stages of any project, Strategize, Prioritize, and Realize, with an Agile mindset connecting them. Techniques are drawn from the presenter’s delivery experience and from the Spragile™ methodology, but the session is deliberately methodology-inclusive. Every technique presented works in predictive, Agile, and hybrid environments, and none of them require a specific tool, framework, or process to adopt.

By the end of the session, participants will be able to:
1. Recognize hope-based planning and identify common sources of unrealistic project commitments, including optimism bias, artificial deadlines, unclear priorities, and best-case estimation.
2. Apply backward planning techniques to define the desired outcome first and work backward to build an execution strategy grounded in project purpose, value, constraints, and measurable success.
3. Use collaborative prioritization to distinguish essential work from lower-value activity, accounting for value, urgency, effort, risk, dependencies, and team capacity.
4. Apply realistic estimation principles that reflect actual team capability, uncertainty, and execution risk rather than relying on best-case performers or desired completion dates.
5. Use short execution and feedback cycles to validate assumptions continuously, surface problems earlier, incorporate lessons learned, and adapt plans as project conditions change.
